Word to PDF before signing: export and check the layout

Export the final Word document to PDF before placing signatures, then review the exported file. The conversion step is complete only when that PDF contains the intended content and layout, not when a filename ends in .pdf.

DocAISign paid checkout is not currently enabled. Self-signing is free; check your available sends and the Pricing page before planning a request.

Create a separate PDF copy

Microsoft’s Office guidance describes saving or exporting as PDF, with options that vary by application and platform. In Word, choose the PDF output option available in your version and save a clearly named copy. Keep the editable source separately.

Do not substitute a renamed file

Changing a DOCX extension to PDF does not convert its contents. Open the exported copy in a PDF viewer and confirm it is readable. If Word still shows unfinished content, correct the source before creating another exported copy.

The DocAISign production upload flow currently asks Word users to save as PDF. Do not rely on server-side Word conversion being available. Exporting yourself also gives you a chance to inspect the exact file before it becomes a request.

Review the places most likely to matter

  • Count pages and confirm required attachments are included.
  • Check table boundaries, wrapped text, headings and page breaks.
  • Inspect landscape sections and signature spaces.
  • Confirm all intended names, amounts and dates are present.
  • Review whether comments or review annotations appear as intended in the exported copy.

Keep editable dates and signing fields distinct

Complete dates or other values that belong to the document wording in the source. DocAISign adds signature/date boxes; it does not fill general text inputs. Its recipient date fields complete automatically during signing, so they are not a substitute for any arbitrary date in the source.

If the form needs custom typed entries, check the required editing or field workflow before uploading. A readable PDF can still be incomplete.

Upload the reviewed export

Use the PDF you actually reviewed, not a similarly named older version. DocAISign’s current PDF limits are 20 MB and 100 pages. After upload, compare the document preview with your exported copy before placing boxes.

Check the correct page and Me/Signer assignment for every box, especially after a layout change. Do not assume signature positions from a previous export are still right.

After completion, keep the right versions

Retain the editable source, reviewed unsigned PDF and completed PDF as distinct files. Keep the audit with the completed copy. Do not resave over a signed original merely to make it look like the latest editable document.

If wording changes after a request is sent, check its current state and arrange the appropriate correction or replacement. A new export does not disable the old signing link.
