Moving e-signature templates: what to recheck after import

A template migration is more than moving a PDF. Fields, recipients and request settings can be part of the reusable setup. Treat an import as the beginning of verification, not proof that every rule now behaves the same way.

A comparison by the maker of DocAISign, based on official product documentation. We have not independently tested every competitor or verified every plan. Product names belong to their owners.

DocAISign paid checkout is not currently enabled. Self-signing is free; check your available sends and the Pricing page before planning a request.

Xodo Sign distinguishes reusable templates and links

Apryse’s Xodo Sign help describes a template sent to specific signers and a template link used for a shareable workflow. Choose the intended mode before testing migration: a named invitation and an open entry point are different sharing models.

Import support has a specific scope

Xodo Sign publishes a dedicated guide for importing Docusign templates. Follow that current guide for supported inputs and setup; do not assume it promises lossless migration from every vendor or every advanced template feature.

Test the imported behaviour, not just the appearance

  • Check the source PDF version, page count and orientation.
  • Inspect each field’s type, position, required status and recipient assignment.
  • Verify the actual recipients and signing order in a fictional request.
  • Confirm whether access is through named invitations or a reusable public link.
  • Inspect the completed file, activity record and export path.

Keep old live requests separate from the new template

Importing a setup into another product does not, by itself, transfer or close requests already sent from the old one. Inventory outstanding requests, completed records and reusable public links before switching staff to the new process.

Decide who owns the cutover. Keep a reference copy of the approved template and a list of the sample results you checked. If the underlying wording changes at the same time as the migration, record that version change explicitly.

DocAISign is not a template migration destination

DocAISign currently has no template library or template import. It can receive a prepared PDF, then let you place signature/date boxes for yourself and one other recipient. A PDF export preserves document content, not an assurance that another service’s field rules or automation were imported.

Use a template-capable service when reuse and migration are requirements. Use a standalone PDF workflow only when manually preparing each request is acceptable. Do not buy or rebuild a workflow around a feature the destination does not provide.

Save evidence of the acceptance test

Keep the fictional source, completed output and checklist with the migration record. Include a failed or cancelled request as well as a successful one. Recheck exports before closing access to the earlier system; completed records should remain retrievable independently of an old invitation link.
