Signing guides
How to sign your part of a PDF before sending it to one recipient
Some PDFs need your signature as well as the other person’s. Prepare both sets of boxes in one request, but keep their ownership clear. Signing your own fields is different from finalising the document as a self-signed file.
DocAISign paid checkout is not currently enabled. Self-signing is free; check your available sends and the Pricing page before planning a request.
Prepare a finished PDF first
Complete names, terms and other required text before uploading. DocAISign adds signature/date boxes; it is not a general PDF editor. Open the preview and review every page before placing fields.
This workflow supports you plus one other recipient. If the file needs several external signers or approval stages, choose a workflow with those roles rather than forwarding one private invitation.
Place your boxes under Me
In the editor, choose Me for the boxes that belong to you. Add the signature box in your actual signing space, then activate it and complete your mark. Add a date box only where the document needs the signing-date behaviour.
Wait for the editor to save your signature and layout. If saving fails and a retry is offered, keep the page open and retry before continuing. Do not treat a mark visible on screen as proof that the save completed.
Place the other person’s boxes under Signer
Choose Signer for the recipient’s new signature/date boxes and place them in the correct spaces. Review each existing box’s owner as well as its position. Selecting an owner for a new box does not mean every box already on the page has changed owner.
The recipient should fill their assigned fields through the invitation. Do not draw a mark in their place or forward your own private access as a substitute for a request.
Choose Send for signature for the shared request
Use Send for signature when another person still needs to act. Sign and download is the separate self-signing completion path, intended when the required boxes are yours. A self-signed output is not the same request waiting for a recipient.
Sending requires a signed-in sender with confirmed email and available sends. Check the intended recipient address and current Pricing page. If the save or send result is uncertain, read the status before retrying or creating another request.
Review the recipient hand-off
The recipient can open the email link without registering, review the document and complete assigned fields. Your saved sender signature should already be part of that preview. For an important recurring layout, test first with fictional content and a controlled inbox.
After completion, download the signed PDF and audit record. Inspect both signatures, the dates and every required page. Keep that completed version distinct from the unsigned source.
If the ownership or file was wrong
Check the current request state before correcting it. A pending request can be revoked by its owner before the recipient signs; a replacement does not automatically close the old link. Keep a completed original and arrange a clearly identified correction when needed.
