Google Workspace eSignature vs DocAISign: check access first

Having a Google account does not automatically mean you can send a built-in eSignature request. Before moving a document between products, check the account and administration requirements, then test the fields and recipient journey you need.

A comparison by the maker of DocAISign, based on official product documentation. We have not independently tested every competitor or verified every plan. Product names belong to their owners.

DocAISign paid checkout is not currently enabled. Self-signing is free; check your available sends and the Pricing page before planning a request.

Eligibility comes before the menu

Google’s official help lists Workspace Individual and specified Workspace editions, with administrator enablement required for applicable plans. It supports preparing requests from Google Docs and PDFs in Drive. Check the current eligibility list for your exact account rather than assuming all Gmail users have the sending feature.

Check the fields and recipients you need

The same guide describes assigning fields to signers and several input types, including signature, initials, name, text and signed date. Compare that with your actual form. A request that needs typed entries is different from one needing only a signature mark.

Do not guess that a missing option is a broken PDF. Verify your account, edition and administrator setting first. Use your organisation’s normal support process instead of moving a work document into an unauthorised personal account.

Test how the source becomes a completed record

Use a fictional document with clearly labelled source and completed versions. Check which file is sent, whether the expected fields belong to the right people and where the final file can be retrieved. Changing the working source later should not make you lose track of the version that was signed.

Inspect the recipient steps with a controlled inbox. Check the current account or authentication requirements in the workflow you are testing; do not infer them from your own signed-in browser session.

A standalone PDF alternative has a different scope

DocAISign supports an existing PDF or scan, signature/date fields and one other recipient. It does not connect to Google Drive storage or create general text and initials fields. Prepare required content before upload.

Self-signing can be anonymous. Sending requires a confirmed DocAISign sender account and an available send; the recipient opens the email link without registering. Check Pricing and current checkout availability before planning paid requests.

Compare using an ordinary sample

  • Confirm sender eligibility before troubleshooting a missing menu.
  • List the required field types and external recipients.
  • Test recipient access separately from the sender’s signed-in session.
  • Download and inspect the exact completed version.
  • Keep the completed record in the storage location your process requires.

Choose from entitlement and task

If the required Workspace feature is already available and fits your form, test it before buying another tool. If you need a separate prepared-PDF workflow with one recipient, DocAISign is an option to evaluate. Neither choice removes the need to review source content and completed records.
