PandaDoc vs DocAISign: proposals or prepared PDFs?

A proposal builder and a PDF signature workflow solve different parts of a job. Decide whether the document still needs to be written, assembled and approved, or whether it is already final and only needs signatures.

A comparison by the maker of DocAISign, based on official product documentation. We have not independently tested every competitor or verified every plan. Product names belong to their owners.

DocAISign paid checkout is not currently enabled. Self-signing is free; check your available sends and the Pricing page before planning a request.

PandaDoc extends beyond adding a signature

PandaDoc’s pricing page describes a document editor and, on higher tiers, quoting, CRM connections and approval workflows. Some capabilities use add-ons or usage credits. That broader preparation layer is relevant when the agreement is still being built.

Why free-plan descriptions can disagree

The current plan-comparison help page distinguishes five documents per month from 60 per year on older annual Free accounts, and lists two recipients per document for Free eSign. Account history can therefore explain apparently conflicting advice. Confirm your account’s actual allowance and reset rules rather than multiplying a headline into an annual guarantee.

What a prepared-PDF workflow leaves out

DocAISign starts with your existing PDF or a scan made from photos. It adds signature/date boxes, supports your signature plus one other recipient, and produces a signed PDF and audit record. It does not write proposals, calculate quotations, maintain a reusable content library or connect requests to a CRM.

Self-signing is free without an account. Requests require sender email confirmation and available sends. Check the live Pricing page and checkout availability; do not assume that a listed future commercial offer can currently be purchased.

Compare preparation, not just the final click

For an original sales proposal, test the time spent producing a correct document and coordinating changes before anyone signs. For a final supplier PDF, test whether uploading and marking the required boxes is enough. Comparing only the last signature click hides the part of the workflow you may be paying for.

Avoid editing or recreating an already signed agreement to make it fit another product. Keep the completed original and start a new, clearly identified version when the underlying terms change.

A practical decision checklist

  • Does the file already contain every agreed term and required text entry?
  • Do you need multiple external recipients, internal approval or reusable document content?
  • Which features in your test are paid add-ons rather than included capabilities?
  • Can the recipient finish on a phone and save the completed record?
  • Does the free account you actually created have monthly or older annual limits?

Where each fits

Shortlist PandaDoc when creating and managing proposals is part of the requirement. Shortlist DocAISign when the content is complete and a PDF, signature/date fields and one recipient cover the task. If neither fits, the broader tools guide separates editing, forms, routing and self-hosting options.
